Registration is now open. Anyone funded to attend the meeting must use the registration link provided in the invitation.

The registration deadline for funded attendees is June 30. Fees for paying delegates and guests will increase by $50 after this date.

Registrations that have not been paid by July 29 will be canceled.

Check the status on whether your board has already named its funded delegates.

Registration

The method used to register depends on whether you are funded by NCEES to attend the meeting. All NCEES-funded attendees will receive a special invitation via email containing detailed funding information and an individualized link to register.

Detailed information about each registration type and descriptions for all events are available in the schedule of events.

Virtual events are scheduled to help boards prepare for the annual meeting, including State of the Council meetings and a New Member Orientation. Register for these events separately.

There is no virtual option for the annual meeting.

Registration fees

  • Business delegate: $450 ($500 after June 30)
  • Law Enforcement Program: $150 ($200 after June 30)
  • Guest registration: $325 without breakfasts or $425 with breakfasts ($375 and $475, respectively, after June 30)

The registration links below should only be used by delegates who are not funded by NCEES. If your board has not yet named its funded delegates, you may wish to wait to register. Check the status on whether your board has already named its funded delegates.

Funded delegates and funded first-time attendees should allow one week after their board has submitted the notification form to receive their invitation. If you have not received an invitation and feel you should have, email [email protected].

Only paying delegates can use these links to register.

Hotel accommodations

The 2024 annual meeting will be held at the Chicago Marriott Downtown Magnificent Mile. NCEES has a block of rooms available at the Marriott at a rate of $219/night, single or double occupancy.

The rate does not include taxes and fees (currently 17.4 percent). The daily hotel destination fee, currently $25 per night, is waived for those who stay inside the NCEES room block.

There will be limited hotel room availability following the meeting; requests for additional nights cannot be accommodated once all rooms have been reserved.

Those funded by NCEES to attend the annual meeting (such as funded delegates, qualified first-time attendees, and committee chairs) will have their reservations made by NCEES based on information provided during registration. Detailed funding information is included in invitations sent to those individuals. Funded nights must fall within the specified date range; accommodation funding is not transferable to other dates.

A hotel confirmation will be emailed approximately two weeks before the meeting.

A block of rooms is available to registered paying delegates at the negotiated rate of $219 for standard rooms.

Delegates not funded by NCEES can make hotel reservations after registering for the meeting. The link will be provided in the registration confirmation email. NCEES may cancel reservations made within the block if there is not a matching registration for the meeting.

Register and reserve accommodations as early as possible before the NCEES room block is exhausted. The NCEES room blocks will close shortly after June 30.

The cost for valet parking (currently $70 per day) will be direct-billed to NCEES for funded attendees who are approved to drive to the meeting. Gratuity is left up to the individual.

Travel and ground transportation

Air

O’Hare International Airport (ORD): 17 miles from hotel
Midway International Airport (MDW): 13 miles from hotel

The following options are specific to the O’Hare International Airport and Midway International Airport. Attendees should plan to depart from the hotel at least two hours prior to the scheduled departure time.

Uber/Lyft: Uber and Lyft drivers are permitted to pick up and drop off at the airport but be sure to locate the approved pickup location at the airport before requesting a pickup. Pricing from the O’Hare International Airport to the Marriott is typically $50; pricing from Midway International Airport is typically $40. Use the fare estimator for more detailed information.

Taxi: Taxi service from the airport is a metered fare, so the cost can vary depending on traffic. Expect to pay between $30 and $40 for either airport.

Chicago Transit Authority: The Chicago Transit Authority (CTA) is the most economical ground transportation option. A one-day unlimited pass can be purchased for $5.

The Blue Line train, which connects to Chicago O’Hare International Airport and downtown, operates 24/7. The Orange Line train, which provides service between Midway International Airport and downtown, operates from approximately 4:30 a.m. to approximately 1:00 a.m. every day.

Rental car: Funding checks for individuals funded by NCEES are not intended to cover the costs to rent a car and park at the Marriott, but delegates may choose this option and cover these costs if preferred. Most major rental car agencies offer service at O’Hare International Airport and Midway International Airport.

Prepare for the meeting

The 2024 Action Items and Conference Reports is an excellent preparation tool for annual meeting business sessions. It includes the business agenda; consent agenda; reports from officers, committees, and task forces; and motions that will be voted on at the meeting. A PDF of this document will be posted at the top of this page by July 1.

State of the Council meetings provide timely announcements and updates on Council activities. The webinars in June and July will provide important information to help member boards prepare for the annual meeting.

Registration opened in January for the 2024 State of the Council meetings. Members, member board administrators, associate members, emeritus members, and past presidents of NCEES were invited to attend. New members should receive an invitation shortly after NCEES has been notified that they have joined a board.

The four zones will vote to approve the minutes of their respective spring 2024 zone interim meetings at their breakout sessions during the annual meeting. The draft minutes will be posted here as each becomes available.

With the exception of the events below, the recommended attire for the NCEES annual meeting is business casual (for example, oxford shirts, polo shirts, sweaters, slacks).

  • Kickoff party: Comfortable, casual attire is appropriate for this event.
  • Awards and Installation Banquet: The suggested attire is business (for example, suits, dress skirts).
  • Guest tour (Thursday): Casual attire is appropriate.

Other meeting details and policies

A hospitality desk will be open all week to help make dinner reservations and provide suggestions for how to enjoy your free time. Here are a few suggestions.

  • Visit Navy Pier and experience its rich history while enjoying a wide collection of recreational, entertaining, and educational activities.
  • Experience the wealth of renowned museums, galleries, and historical sites that Chicago has to offer. Art Institute of Chicago, Shedd Aquarium, Field Museum of Natural History, and Alder Planetarium and Astronomy Museum are some top attractions to visit. Check hours of operation in advance of your visit.
  • Explore the wonders of Millennium Park to discover the famous Cloud Gate sculpture, Lurie Garden, Jay Pritzker Pavilion, and Crown Fountain.
  • Many local companies offer organized tours. Plan ahead by looking at the Visitor Bureau’s list of suggestions, or visit the hospitality desk or hotel’s concierge on site.

The 2024 annual meeting includes workshops offering professional development hours, or PDHs, for professional engineers and surveyors. A self-report attendance form will be available for download here after the meeting. Individual certificates will not be provided. Contact the relevant licensing board with questions about continuing education requirements.

NCEES will fund the lodging and travel expenses and registration fees for the designated member board administrator (MBA) from each member board. When an MBA represents more than one board, the funding will be for the designated MBA only and not for the assistant MBA or other member board staff. The Council will provide the same funding to current member board members attending the meeting for the first time (must have been appointed since August 15, 2022) and three additional eligible delegates.

NCEES will be direct-billed for airfare and hotel room and tax charges for up to five nights from August 13 to 17. (Funded nights must fall within this date range; accommodation funding is not transferable to other dates.) Funded attendees will also receive a one-time reimbursement to cover incidental expenses. The amounts are set according to expected expenses for those who fly, take the train, or drive.

NCEES will also fund one individual to attend the Law Enforcement Program. When registering online, these funded individuals will have the option to upgrade to a full annual meeting delegate registration for $350. Additional hotel nights will be the individual’s responsibility.

For delegates to qualify for this funding, NCEES should have been notified of their identity by May 1. Funded attendees must register for the meeting and make travel arrangements by June 30 using instructions in the individual meeting invitation.

All registrations for NCEES annual meetings should be submitted with payment by the registration deadline (June 30). Only written refund requests as outlined below will be considered.

Written requests should be sent to the NCEES Meetings Department and must include

  • Name of registrant for whom refund is requested
  • Name of member board or other organization represented
  • Name and address of party to whom the refund should be issued (if payment was originally made by check)

Complete requests for refund received at least 31 days prior to the meeting will be granted, less a $35 administrative fee per registration.

Complete requests for refund received 15 to 30 days prior to the meeting will be granted, less a $100 administrative fee per registration.

Refund requests received fewer than 15 days prior to the first day of the meeting will not be granted.

Note: Registration fees may be transferred to the credit of a substitute delegate upon request at no additional charge.

Refund exceptions for medical reason or family emergency

Delegate: A delegate who cancels attendance for a documented medical reason or family emergency will be granted a full refund of the delegate registration fee.

Guest: NCEES is unable to refund any costs already incurred for a guest at the time of cancellation. Individual guest costs (i.e., guest tour, hotel meals, catering, or optional events) are incurred once a guarantee is submitted as required by each vendor. A refund will be granted, less any of these already incurred costs at the time of cancellation. No refund is typically possible within seven days of the event.
